Expected turnaround time for permission requests
Requests must be submitted as tickets in Service Now assigning it to the Alma group; emails are not sufficient to place a request.
For Fall 2024: please allow at least 2 business days for responses. LSIS will assess based off of the number of requests coming in whether that time frame needs to be adjusted.
Supervisor / manager responsibilities
Review available role profiles at Alma role profile to roles reference to identify what needs to be added;
Submit permissions requests as tickets to https://support.lib.duke.edu assigning it to the Alma group;
Review your staff permissions annually and provide feedback to LSIS about which permissions should be changed/removed.
Granting access to a new staff member
The new staff member’s manager or supervisor must submit a service ticket at https://support.lib.duke.edu. Assign it to the Alma group.
The following information is required. Please provide a spreadsheet if you need to add more than three new users.
Staff member name
Staff member unique ID or staff member netid;
Whether the new staff member is a student employee, intern, volunteer, or full-time employee;
The reason we ask this is that LSIS will set expiration dates for student staff roles at the end of the spring semester.
First day of employment;
Last day of employment (if known);
Requested roles or role profiles (see Alma role profile to roles reference )
The request should specify a role expiration date if appropriate.

Removing access from a staff member
When a staff member has left their position, or when you know the final date that a staff member is going to work, the staff member’s manager or supervisor must submit a service ticket at https://support.lib.duke.edu
The following information is required. Please use a spreadsheet if you are notifying about more than three departing staff members.
Staff member name
Staff member unique ID or staff member netid;
Departure date;
If permissions need to be removed at a specific date/time, please submit a service ticket at https://support.lib.duke.edu or contact Karen Newbery directly (karen.newbery@duke.edu) to coordinate.
