ABLE instructions for processing Music Scores with Pocketbooks (Parts)First create

The Shelf Prep coordinator usually prepares a Music truck to distribute to other staff.  The Music Score Monographs are sorted into four categories which are listed below to simplify processing in ABLE.  When similar types of materials are sorted together in stacks, it makes it easier for staff to add the same kind of notes to the tickets and watch for pockets, loose materials, etc..

Create a Music Score Pocketbook LOT, or select an existing Music Score Pocketbook LOT for the appropriate shipment date, which will be the same as the Music Score LOT [010913MU]
(See separate document on creating a LOT)

Types of Music Score monographs (all items go on a Music Score LOT [010913MU].  The difference will be the format and class.

  • Music score with parts—format will be MP
  • Music score spiral bound with parts—format will be MP
  • Regular music score monograph paperback books--format will be MS
  • Music score spiral bound paperback books--format will be MS

Note: For Music Scores pocket books, the Cover [color] should be BUC-Buckram and the Print color should be G.

Instructions: When you choose Fmt MSMP, Category and Class at the left pane should come up automatically:

Category should be mu – music
Class should be mp – pocketbook

Instructions: *EXCEPTION for Exception for Cover color color: If the call number has includes miniature score: then Cover , choose Cover [color] should be edited to be  598-Navy, so please change from  from the drop down menu instead of BUC-Buckram to 598-Navy for miniature score call numbers: miniature score call number will have min.score in have Min.Score in the call number (see example below).

Also Also remember sets will also be 598-Navy--(watch out for volumes volume numbers in the call number and other music styles like it: [ i.e. no.; op. (Opus); etc.])

Now you are ready to Search search and download records using Z-Link to retrieve title; , author; , and call number from Aleph.

Click on Z-Link and follow instructions on separate document on using document  to use Z-Link for importing titles into ABLE.


Instructions on Notes:

Once When you go back to the title composition screen and before reviewing you review everything, check book the item for what special notes that may need to be added, such as one of the "DO NOT TRIM" notes, and for spiral bound books, "TRIM INSIDE HOLES." or "DO NOT TRIM INSIDE HOLES." Refer to note list for Music Scores.

Note: The major thing about Music Score pocketbooks Pocketbooks is that each Music score has parts and need CB to construct item has scores and/or parts where CB needs to to construct a pocketbook style binding for the parts. Although the parts, for the most part, so all the items can circulate together. Most of the time the parts will not be getting bound, there has to be note information describing but we still need a note describing the number of scores we want to be bound and the number of parts that a pocketbook should be constructed forare included so we can be sure everything is returned from the CB. Please refer to the Pocketbook notes below as examples of how to indicate to CB about the score and number of parts. .  If you do not have enough room for the entire note to fit in the Bindery Notes Field. place the rest of your note in the Temporary Notes Field. Sometimes you may need to abbreviate some of the words.


Notes For Music Scores PocketsScore Pocketbooks:

BIND 1 SCORE. TRIM INSIDE HOLES IF POSSIBLE. DO NOT BIND 4 PARTS.

BIND 1 SCORE. BIND 3 PARTS AS SCORE WITH HARD COVERS. 

DO NOT TRIM INSIDE HOLES FOR ALL.

BIND 1 SCORE. TRIM INSIDE HOLES. BIND 1 PART (LOOSE PGS) AS A SCORE WITH HARD COVER.

{BIND 4 SCORES. FOLLOW DUMMY TICKETS FOR LETTERING FOR SPINE.}

{BIND 1 SCORE. BIND 4 PARTS AS SCORE SCORES WITH HARD COVERS. DO NOT TRIM SCORE & PTS 2-4 AT ALL.}

Also Watch-Out for post-it notes on the score for special NOTES to be added. Example 


If a Post-It note is there, make a note in the the Instruction area: PLEASE KEEP THE COVERS. PLEASE KEEP BACK COVER. or, PLEASE RETAIN BACK COVER.If notice the score have  area: Please keep the covers, Please keep the front cover, Please keep the back cover, or name which piece is appropriate to retain.

If you notice the score has loose pages or all pages are loose, please consult supervisorthe Shelf Prep Coordinator. Do not ADD item to the LOT.

Instructions:
Once all the information is competedcomplete, now you are ready to add the item and print the ticket: Click on on Add Item.  The print screen will appear, click .  Click on the appropriate printer and click ok: Ticket . The ticket will print to the printer that has been selected. Now you are ready to proceed to the next item by clicking on Z-Link. The Z-Link process is repeated for importing each item into ABLE. 

Making corrections on ABLE:

When you are revising and need to make corrections on items: Always , always click on Upd Item (Update Item) after a correction is made, and NEVER click  click on Add item because it will duplicate the item on the LOT. Once the item is updated, you will need to reprint the ticket: To reprint a ticket, click on on Print, and click on Reprint UBS, click on Reprint Binding Slip, then choose the appropriate printer and print the new ticket.
