Physical Handling of Scores


Notes on barcode, label, stamp and target locations:
For all scores, avoid covering any text or musical notation at all costs. Trim off blank space on call number labels as necessary, navigate barcodes and labels around print on materials.
Non-Rush Score Shelf Preparation:

  1. Bound scores
    1. Scores that come pre-bound (like a monograph) from the publisher or vendor don't require special handling. Treat as monograph (barcode, label, stamp and target).
    2. Place in bin for Music
  2. Unbound scores (scores, scores with parts, parts without a main score)
    1. If total thickness is less than ¼" or less, score will be sent to Conservation for pam (pamphlet) binding (regardless of height and width) (pages must be bound with staples/sewn together – no loose pages)
      1. Barcode location:
        1. Score alone: usual location
        2. Score with parts: barcode only score, not parts
        3. Only parts: barcode Part 1 only (determined by bibliographic record/cataloger)
      2. Call number label on pam bound items should be inset (use binding template)
      3. Stamp and target as usual
    2. If total thickness is greater than ¼", score will be sent for commercial binding (regardless of height and width)
      1. Barcode location:
        1. Score alone: usual location
        2. Score with parts: barcode only score, not parts
        3. Only parts: barcode Part 1 only (determined by bibliographic record/cataloger)
      2. Call number label as usual (no stamp or target)
    3. If score is loose pages only – not attached by staples, sewn together into a signature, etc., it must go to bindery for commercial binding, Conservation does not pam bind loose sheets.
      1. Barcode location: last page on back, usual monograph location
      2. Label goes on bottom-left corner of first page, usual monograph location
      3. No target (will be targeted by commercial bindery)
    4. Spiral bound scores
      1. Go to commercial bindery (confirm according to thickness guidelines)
      2. Barcode goes on last sheet, inset from spine, because the cover will be removed in the binding process
  3. Scores with accompanying materials
    1. Bound scores
      1. For discs, treat as monograph with accompany material <link>
      2. For cassettes?
    2. Unbound scores
      1. Treat score as above
        1. If accompanying material is disc
          1. Place note in Aleph
          2. Insert green disc flag
        2. If accompanying material is cassette tape
          1. Place note in Aleph
          2. Insert score and tape into plastic bag for transport
        3. If score includes loose sheets that must remain loose
          1. Score must go to Conservation for treatment, it CANNOT be commercially bound.
          2. Flag with blue Conservation flag, note the loose sheets.


Changes in process for RUSH scores

  • Scores will always be cataloged by Resource Description before they circulate.
  • Unbound scores go rush to patron before they are bound; they should travel in a plastic bag if they are a score with parts, just parts, or have loose sheets.
  • Place a circulation note in Aleph: "when returned, send to Bindery" or "when returned, send to Conservation" based on their thickness
  • Label, stamp and target locations as above BUT items going to Bindery get stamped and targeted, as they will circulate before binding
  • No labels
