Using Barcodes to Find Data in Alma Analytics

Scope: This explains how to take a list of barcodes and use Alma Analytics to find related MMS ID, Title, Location, etc.

*The maximum number of barcodes is 9,999 for each analysis.

*If any barcodes in the filter are not found in Alma, they will not appear in the final analysis. After running the analysis, remember to compare the original list of barcodes to the final spreadsheet data to make sure all barcodes are accounted for.

Sign in to Alma Analytics, click Create, then select Analysis.
(For MADS, go to Analytics Catalog-->Shared Folders-->Duke University-->Reports-->MADS-->Barcodes to MMSID, Title, Loc, Call#)

Create in menu bar, then Analysis

Select Physical Items to see a list of criteria options related to item-level data. Beginning with barcodes, drag and drop desired criteria into the Selected Columns area.

After all criteria have been added, click the gear icon next to the column you want to filter (in this case, the list of barcodes will be the filter).

In the New Filter box, click the magnifying glass icon next to the Value field.

In the Select Values box, click the pencil icon to the right of the Selected box.

In the Edit box, paste up to 9,999 barcodes, and click OK in the Edit, Select Values, and New Filter boxes.

The filter now displays on the bottom of the page. Next, click Results.

If changes need to be made, go back to the Criteria tab. Otherwise, click the Save As icon in the top right corner of the page to save the analysis.

To see the results in Excel, click the Export button, then Data, then Excel.

The exported file will be automatically downloaded.
