Earlier/Later Title Process: Series Title Change (TC)


If there is a 780 or 785 field w/indicator 00 -- or sometimes indicators may be different -- please follow these instructions to process.

Meaning of 780 and 785 field: A 780 field w/indicators 00 is an earlier title of the series, and a 785 field w/indicators 00 is a later title for the same series, which means the series title has changed in the wording of the title. These series with the indicators being the same should always have the same base call number. If not, that's a problem; please inform the Shelf Prep Coordinator.

Note: If indicators are not 00 and call numbers are NOT the same, then treat as different titles and do not considered as a title change (TC)


Instructions: (see Aleph printout for instructions on searching) 

780 00 field is an earlier title of the series.

  • Therefore, if the record for the book in hand has a 780 00 field, which means this 780 00 title may represent the earlier title in Aleph, and may also already be in ABLE. First, check for the 780 title in Aleph before searching in ABLE.

  • Once retrieved, check the holding record to see if it already has a Bindery ID number [i.e. Bindery no: 18530]. If it has an ID number, use that number to retrieve the title in ABLE.
  • Once the record is retrieved in ABLE, check for Cover color, which is the number used for the color of the book. Write that number down, and use it to update the Aleph record for the 780 field/ earlier title. This can be done by inserting the BK Cover color number on the holding record where the Bindery number is and moving the Bindery number to the later title of the book in hand, which is the bib record with [245 title] of the 785 field/later title that's on the earlier title record. That would complete the work that needs to be done on the Aleph records. Next, update the ABLE record of the ID number to be the title of the book in hand. Once that is done, the Title Change process is completed.


NOTE: Also the old (earlier title) should no longer be Currently Received (CR). If it is see the Shelf Prep Coordinator or Serials Staff in Electronic Resources & Serials Acquisitions.
Once all the above is completed, make sure the ID number is written inside the item and place on the next Per truck.
