Periodicals (Pers)/Serials Revision of ABLE Records

  1. Make sure the following on the ticket and book are exactly the same:

Please follow up by investigating if there are any discrepancies.

    • Author and/or title (most of the time, we do not use articles preceding the title)
    • Call number
    • Holdings (variables) are printed following the LC call number for Serials or in the middle for Periodicals.
    • Ticket must have the barcode printed on it to change the IPS to OB after the books are picked up by the Bindery (this is a manual process for the typist to remember)

Note: For BK# books, be sure to check the title and call number carefully because they were typed manually.

2. Make sure holdings (variables) on the binding units match holding (variables) in call number on ticket and inside the piece.  Please follow up by investigating if there are any discrepancies.

Note: May also use the barcode on the ticket and the piece to assist with making sure the correct ticket goes with the book.

3. Truncating titles, etc. if needed: This is important because the title fitting on the spine should already be predetermined so no additional adjustments have to be made at CB unless there is a special case.

    • If needed compare length of title and spine and height of book to see if title needs to be truncated.
    • Use already prepared examples to assist with this process, especially if the wording has to be changed for title to fit on the spine.
    • Check the call number slot level to make sure no adjustment is needed.
    • Glance at other slot levels to make sure no adjustments are needed.

4. Check each issue for trimming notes and other types of notes if needed:
Be sure to check the ticket for permanent note instructions that should already be followed for processing the item in ABLE. 

    • If needed add appropriate notes to instruct the Commercial Bindery on whether to trim units or not (See separate document on notes for Per lots)
    • Other notes should be added if needed (i.e. Temporary note: such as *Loose materials—CD


5. Types of Flags in items and what to do: The following flags are to be taped to the left side of the back of the ticket that goes with the book. Make sure to use filmosplast and not regular scotch tape.

    • LSC flag (green or blue)
    • Papyrology flag
    • Herbarium flag
    • Notify flag
    • Rush flag

Flags to take out of items:

    • CD flags=take out once CD has been processed
    • Other loose materials flags—take out once loose material has been processed
    • Pink bind flag=take out
    • PV=Preservation Repair Request flag (Please view for any special request: i.e. "Insert loose material")

Other things to look for:
Torn pages on issues
Damaged issues: such as water, stain, etc.
Pop-up notes on tickets (notes with * {asterisk} next to it.)
