Suppressing Bib and Holding Records in Batch

Scope: This document describes how to suppress bibliographic and holdings records in batch using MMS IDs and Holding PIDs.

This process assumes analysis has already been done to determine if the bibs and holdings should be suppressed. See

To suppress bib records in batch:

Begin with a .txt file of MMS IDs. Make sure the file has MMS ID in the header.

Create an itemized set in Alma (Admin, Manage Sets) using the list of MMS IDs. Select Physical Titles as the content type when creating the set.

Next, run the Suppress Bib records from discovery job:

Select the set to be used in the job, click Next.

Select ‘true’ in the task parameters:

suppressed from discovery, true

Review and confirm, then Submit.

Once the job has run, search one of the MMS IDs to confirm that the record has been suppressed.


To suppress holdings records in batch:

Create an itemized set of Holding PIDs using the process above. The .txt file should have Holding ID in the header. Select Physical Holdings as the content type when creating the set.

Next, run the Change Holdings Information job:

Check the Tag records for publishing box and select suppress from the dropdown:

Submit to run the job.
