Use cases for Items on Exhibit

  • Items on display near the Verne and Tanya Roberts Conservation Lab on Perkins Lower Level 1

  • Items on display in International & Area Studies on Bostock 2nd Floor

  • Items on display in the Music Library lobby

  • Items that belong to the general DUL collection but are temporarily on display at a Rubenstein exhibit

Items owned by the Rubenstein Library or University Archives are not covered by this workflow.

General item management process

  • When an item is being prepared for exhibit:

    • If work is needed, the item is placed in a work order;

    • If pre-exhibit work is not needed, or when pre-exhibit work is complete, item is moved to a temporary location for exhibits.

  • When an item is being removed from exhibit:

    • If post-exhibit work is needed, item is placed in a work order;

    • If post-exhibit work is not needed, or when post-exhibit work is complete, item is removed from temporary location.

  • When an item is being loaned to a non-Duke institution for exhibit;

    • If pre-exhibit preparation is needed, place in work order with status PREPARINGFOREXHIBIT

    • When sent to external institution, move item to work order with status ONLOANFOREXHIBIT

    • When item is returned, if additional work is needed, move item work order status to REMOVINGFROMEXHIBIT

    • When item is ready to return to a regular DUL collection, complete work order.

Workflows

Preparing an item for exhibit at a Duke location - item needs pre-exhibit preparation

  • Start a work order for the item

  • Apply the status PREPARINGFOREXHIBIT

When the item is ready to be put on exhibit:

  • Mark the work order as done

  • Edit the item and apply the appropriate temporary location.

  • Scan the item (Fulfillment > Scan in items)
