Annual Alma Permissions Review - Information for Library Staff

University IT policy requires that Duke Libraries review access rights for Alma at least once per year to ensure that we are keeping access up-to-date with staff roles and responsibilities.

As part of this review, LSIS will ask managers (people who manage full-time staff, or manage student employees) to review the access granted to their employees and affirm to LSIS whether any access should be updated or removed.

In addition, if staff have administrator roles, those roles must be actively affirmed every year. If LSIS does not receive that confirmation, the access will be removed.

Library staff responsibilities

In the report distributed by LSIS, please identify staff on the review report that you are responsible for.

For those staff members:

  • Review full time staff roles

    • If the role is an administrator, affirm that the role should continue for another year. If the role isn’t affirmed, LSIS will remove it during review. (If the role is “read-only”, this does not apply.)

    • For all other roles, indicate if any should be removed, changed, or continue as assigned.

  • Review student roles (if applicable)

    • Indicate for each student

      • Student has graduated OR not returning for employment in summer or fall - LSIS will remove roles

      • Student is working this summer OR returning in August and needs Alma roles - LSIS will leave roles on account

Once you have reviewed the report, submit the spreadsheet by the requested deadline to the Alma support queue at https://support.lib.duke.edu
