Replacing Media Files
It is possible to update the media file associated with a media record. At times there will be a problem with the file associated with a given media record on MorphoSource. Sometimes the data depositor discovers issues after contributing media. For example, maybe the file version uploaded was not what the depositor intended to upload. Other times, a MorphoSource administrator may ask the data depositor to replace the file. This can at times happen after a user requests a media DOI, and MorphoSource administrators request changes after doing a data quality check. In these cases, it is not necessary to delete the media record. Instead, it is possible to delete the file associated with the media record and upload a new file.
Steps for replacing the media record’s file
On the media page, click on the Edit button in the upper right of the page. If you cannot see the edit button, check that you are logged in and that you have edit access to the media.
On the Edit page, select the Upload tab.
On the upload tab, you will see the file associated with the media. Select Delete to remove the media. This may take a few moments, but you will be returned to the media page. When you return to the media page, you should notice that the record will now indicate that no file has been uploaded.
Navigate back to the Edit page and select the Upload tab. On the left side of the page, you can drag and drop a new file or click the Add File button to choose a new file to be uploaded from your computer’s director. As usual there are also cloud options. After the file is uploaded, be sure to click Save so that the uploaded media file can be ingested. Saving the newly ingested file may take some time. The system will automatically generate new thumbnails and preview derivatives. Again these steps may take a bit of time. If new previews do not show by the end of the day, you may want to contact MorphoSource administrators about it.
