How to Access A Study's DataShare REDCap Record

The steps below outline how to request an account if you do not already have REDCap access.

All users must have a valid REDCap account and agree to the Secure Usage Agreement (SUA), by verifying their email address, before access can be assigned. This will prevent delays when completing your request.

Accessing Study Records in DataShare's REDCap Database

A DataShare REDCap record is required for data access.  Studies that have previously submitted a DataShare resource request survey already have a record; it must be maintained by a member of your study team during the life of the study.  Email the pophealthdatashare inbox if you do not know the REDCap number associated with your project.

  1. Log into REDCap.
  2. Click “My Projects” on the top banner.
  3. Click “DPHS Data Governance Management System”.
  4. On the left-hand menu, select “Record Status Dashboard”
  5. Increase the number of records per page to “all”.  (The default is 250.)
  6. Scroll down until you reach your study.

Updating Study Records

A DPHS Governance System User Guide is available in the file repository.  It contains instructions for completing the Request Approval and Supporting Documents forms.
