When instructors want an item to be digitized, staff must review the copyright applicable to the item to determine if it can be done, if the library must pay for the copyright, or if the item is able to be digitized under fair use rules and/or public domain rules

Copyright default status by citation type

  • Brief: Waiting for Approval

    • This would used when creating an item that is not in Alma and adding it to the Alma repository - e.g., fast add. The most common scenario here is for personal copies.

  • CDI_citation: Not Required

    • CDI is the “central discovery index” - citations of this type should be articles, streaming media in Summon

  • digital_repository: Waiting for Approval

    • This refers to Alma Digital, which is not in use.

  • electronic_repository: Not Required

    • This would be items in Alma of type “Electronic” - for us, most commonly eBooks.

  • non-repository citation: Waiting for Approval

    • These are items that are not in Alma (either CDI or otherwise) and so they are only for course reserves, they don’t need to circulate, etc.

    • Most common scenario for this is an external website, a youtube playlist, stuff like that.

  • physical_repository: Not Required

    • These are physical items in Alma.

Digitization Workflow Rules

We have two rules configured that will allow digitization requests to continue without a manual review.

  • If the item’s bibliographic data shows it was published in 1928 or earlier;

  • If the item’s bibliographic data shows that the percentage requested of the work is <15 percent.

All other scenarios require copyright review.

Note that if Alma cannot determine the percent requested or the publishing year (either because the bibliographic data is incomplete, or because the digitization request does not have the required information,) it will default to requiring manual review.
