We load patron records every day in Alma with user information received from the Identity Management office in OIT.

Patron records are included if they are active faculty, staff, or students. Affiliate records are not loaded into Alma automatically.

Records are loaded in two ways:

  • DKU undergraduates and graduate students are loaded into Duke’s Alma instance when we receive information in identity management that indicates that they are enrolled in a course or course(s) in Durham for that term.

How do affiliates get Alma accounts?

  • Affiliates are people who have unique IDs, netids, and passwords, but do not have a paid faculty position, paid staff position, or are not enrolled as a student in a Duke course or course(s). In short - anyone who is not a faculty member, staff member, or student, will generally be put into the “affiliate” grouping.

  • Affiliates are not loaded into Alma automatically. If an affiliate wants to have library access, whoever sponsored them for their affiliate netid and password needs to request that access for them. Depending on what level of access is needed, a fund code may be required.
