User Records Management
Frequently asked questions
What’s the difference between an external and an internal account type?
An external account is one that Alma knows is managed by another non-Alma system (like our Identity Management system at Duke.) You can only update some fields on an external account - the others are locked because they are imported from the external system.
An internal account is one that Alma manages all aspects of. All fields are editable (depending on your assigned user roles,) and the account is not synchronized with an outside system.
I have a patron that hasn’t been loaded automatically into Alma. What can I check?
Review their directory information (https://directory.duke.edu). If they appear in the directory as affiliate or alumni, they will not be automatically loaded into Alma.
If they are faculty or staff, ask for their start date. They will not be loaded into Alma until their start date.
