Course Reserves terminology

  • Course: An instance of a course offered at Duke and using reserves. One course is created, even if the course is crosslisted.

  • Reading list: The list of items that are on reserve for the course, including physical and electronic items. The reading list can be created by library staff in Alma or by faculty in Leganto or by some mix of the two.

  • Citation: The item that is on reserve for the course. A reading list has one or more citations. A course can have one or more reading lists, depending on how it is structured and how the faculty member wants to use Leganto.

How are cross-listed courses created in Alma?

The course is created when the faculty member opens Leganto from Canvas, and so it takes the course listing from Canvas.

For imported courses from FOLIO, we determine the primary cross listing for the course (usually by asking the faculty member) and put the Canvas course code into the Alma course code field.

Then, in searchable ids, we add the additional course codes.

Example: Music 147 crosslisted with AAAS187, taught by a music faculty member.

When the citation already exists on the reading list: How to put a physical item on reserve for a class.

  1. Locate the course reading list in Alma.

  2. Locate the citation for the item(s) that the faculty member is asking for.

  3. Use the “Manage fulfillment options” choice from the “…” action menu for the citation.

  4. Select the item and put in a temporary move request to move the item to the correct reserves location.

Note that even when a requested item has been scanned in and is reshelved to Reserves, you still need to mark the citation as complete on the reading list, even if the request has closed as done.

  1. Locate the course reading list in Alma

  2. From the reading list, click Add Citation > Add Repository Citation

  3. Once the citation exists, follow the directions above.
