Schedule appointments for study participants


Currently, the best option for creating and managing appointments for study participants is the calendar feature built into IU's Exchange environment. When using this method, it is crucial that you are creating and managing the appointments using an IU group account created for this purpose. The issue with using an existing departmental group account or your personal account is that your schedule is likely already shared/visible to people that are outside of the study team, which would put participant information at risk of exposure. Since study participant appointments are sensitive information, they should be limited to those that have a need-to-know.

Prerequisites

  1. Secure your own environment.
  2. Create an IU group account specifically for the study in question.
  3. Create an Exchange account for your group account, if it does not already exist.

Directions

  1. Either add the group account you created to your email client such as Outlook, or login to the Outlook web app to access the calendar.
  2. Add appointments for study participants as necessary.
  3. If there are other members of the study team that need to be able to view appointments, share the calendar with them.
