This is a draft space for Erin to begin documenting the fulfillment rules structure / setup and related pieces of setup

Types of fulfillment units

We have six fulfillment units to cover our locations. They are:

  • Media and Equipment: Includes DVDs, chargers & other accoutrement, and audio-visual.

  • Course Reserves: Locations for course reserves, supporting short loans as well as two week loans for Fuqua.

  • Closed Stacks: Most of Rubenstein, and a variety of other locations like the Perkins and Lilly “Locked Stacks”. As of fall 2024 there is one loan rule (to allow for loans of DVDs temporarily in the Perkins locked stacks) and one requesting rule (to allow for requesting of those DVDs) and no other rules.

  • Limited: Here is where most of our “periodicals” locations are, as well as other locations where it seems like things don’t really circulate.

  • Standard: Has the most fulfillment rules, meant to support the broadest part of our circulating collections.

  • Lilly Renovation: this is a special fulfillment unit covering Lilly locations during the renovation. The rules in this unit disable requesting through Alma, since items in the library are offsite. The loan rules support renewal for long loans (academic year and 28 days) so that people who have Lilly items from prior to closure can continue to renew them through the closure if they don’t return them.

In addition, there is a seventh fulfillment unit that you would only see in configuration if you have the Resource Sharing Library selected, called RES_FU.

This fulfillment unit is built-in and provides the borrowing requesting rules and lending request rules that are used by BorrowDirect and TRLNDirect with the ReShare integration.

Requesting terms of use

Because requesting terms of use have a few basic configurations, but don’t need to be distinguished by things like replacement cost, we can have far fewer of them and reuse them across rules and fulfillment units.

 

The naming convention is working around a length limit on the policy name.

PRS is shortened for Physical Resource Sharing, and means that line 5 of the policy is set to “Requestable for physical resource sharing”.

Default terms of use was created by the Ex Libris migration and is the default policy, which is non-requestable.

We only have two approaches to pickup locations

  • Pickup anywhere, regardless of availability

  • Pickup Anywhere, only if not available - use when paging items from the shelf is not provided

Borrowing resource sharing policies

These are only used in the Resource Sharing Library and the associated RES_FU fulfillment unit, and they only show up in the UI when you are configuring the Resource Sharing Library.

There is one policy - TRLN and BorrowDirect Requesting - that matches on the patron groups that are eligible for the service, and allows resource sharing.

The default rule is no resource sharing requesting.

Lending resource sharing policies

There are two policies, only able to be seen/configured in the Resource Sharing Library and the associated RES_FU fulfillment unit.

The policy TRLNDirect - 250 Day loans allows TRLN Direct lending for 250 days.

The policy BorrowDirect - 365 Day Loan allows lending to BorrowDirect for 365 days.

Booking policies

We don’t use booking. There is a one booking policy in place for default behavior, which disallows booking.
