Updating fixed due dates in Alma

Fixed due dates on loan terms of use need to be updated periodically.

  • Staff get due dates at the end of the summer; the end of the fall, and the end of the spring for standard loans

  • Science and Research staff get due dates at the end of the summer, the end of the fall, and the end of the spring for standard loans

  • Faculty and graduate students get due dates at the end of the academic year

We have two fixed due date advanced policies that can be found in Configuration > Fulfillment > Advanced Policy Configuration

  • End of term - this switches from end of summer to end of fall to end of spring, lather, rinse, repeat

  • End of academic year - this switches yearly

So the process for this is

  • Get the relevant subject experts to agree on the new dates, then:

  • Create the new fixed date as an event in Alma’s calendar;

  • Update the advanced policies so that the value of the advanced policy uses the new event

  • Verify the change took effect with the fulfillment configuration utility

Add the new calendar event

Go to Fulfillment and make sure the Configuring menu is set to the institution level.

Go to Fulfillment > Library Management > Opening hours.

Add the record as a record type of “Event”. Make sure to run the calendar update job afterwards.

Update the advanced policy

Go to Fulfillment and make sure the Configuring menu is set to the institution level.

Go to Fulfillment > Physical Fulfillment > Advanced policy configuration

Find the due date and click More Actions > Edit to change the value. Make sure to save your changes.

Verify the change took effect with the fulfillment configuration utility

Note that you need a circulation operator or fulfillment operator role to test this.

Go to Fulfillment > Advanced Tools - Loans > Fulfillment Configuration Utility

Use a sample patron and sample standard loan item to test and see what loan date is returned.
