OCLC Connexion Setup and Bibliographic Record Export Settings

  1. Open the options menu in OCLC Connexion in Tools -> Options.

  2. In the Export tab, click the Create button.

  3. Select OCLC Gateway Export and click Ok.

  4. Setup the following screen according to this screenshot and click ok. For password login information, see Connexion to Alma Setup (Netid required) or contact lib-mads-department@duke.edu



  5. On the next screen, either accept the provided name, or give it one of your own. I use ‘Alma Production’ so it’s easily identifiable.

Required Export Settings

OCLC Record Exports in UTF-8 

Background on policy: OCLC record export settings must be set to export data in UTF-8 Unicode. Aleph anticipates all incoming data to contain Unicode or Unicode-compliant character encoding, so when it encounters non-Unicode values, the characters become corrupted.

Export Settings Required for Copy Catalogers – delete MARC 856 from Export (optional for Original Catalogers)

Background on policy: Because by policy, we use separate records for electronic resources and print/physical resources, we do not want to import URLs often included on "multiple version records.  These are often referred to as "Mulvered" records. In addition, many electronic resource records in Connexion have URLs linking to other libraries' subscribed electronic resources which causes confusion for our patrons. 

Original catalogers describe a select number of electronic resources, some of which will include a URL in the WorldCat record and this is why the setting not to export 856 fields is optional for original cataloging.  However, original catalogers should ensure that no URLs that are specific to a different institution or are on a "mulver" record get exported into Aleph.  They should also make sure that URLs to related resources for print materials have the proper indicators in the 856 field.  This will ensure that the URL does not trigger a "View Online" button in the catalog and appear to be a direct link to the full text resource.  Alternatively, original catalogers can simply delete all related URLs, without replacing the WorldCat record, and export a copy of the record free of URLs.
