Processing Music Scores


Processing Music Scores: New title of Music Scores, mostly unbound, received in the section from the Music Cataloger and sometimes others. They are placed on shelves in Shelf Prep. They have special processing, especially, score and parts. The scores are sorted by Shelf Prep workflow coordinator. Most scores come unbound and get sorted and appropriately placed in categories else for Conservation/Preservation Department or for Commercial Bindery processing. Note: The bound scores should be processed the same as any other bound book.

MUSIC scores: SINGLES sent to CONSERVATION/Preservation

Single Scores: barcode is matched


Scores and Parts: The score has a barcode but the parts do not have a barcode. The call number is placed on main score and parts. The call number for the parts is generated from the barcode on the main score. The Cataloger usually helps with how many call numbers needed by placing a post-it on back of main score with how many call numbers needed for score and parts. Which also help with how many parts is accompanying each score.

Affixing Call Number to Single and Main Score

    • Using the line on the Bind template instrument showing where to affix call number, we are to affix call number by line measurement to lower front cover of book. (see supervisor for demo)

Affix call number to the upper left hand corner of part, then, stamp the top of part across from the call number label

    • Stamp title page with Duke Property stamp of the main score. For parts, stamp center at top of page where the call number is place. (Unbound Scores do not get targeted (targeting gets done after processed in Preservation)
    • Scores and parts should get placed in covered bin and delivered to Preservation

MUSIC SINGLES SENT TO BINDERY:

For unbound music singles going to the bindery, place call number label on front cover, which is the usual place for paperback books. These get placed on a truck in preparation for Music bindery lot. (See document for entering Music score on ABLE)

Music Scores RUSH

MUSIC Scores unbound RUSH:
When we get music rush it will get processed immediately, usually by the staff member who is processing rush for the day. Every item is done as usual with affixing call number and stamping. However the sorting for delivery may be different from other sorting and delivery. (see below)

Sorting and delivering Music RUSH:
Music Scores RUSH  is delivered on a case by case basis according to Rush flag, that means, the RUSH flag is to be checked first to see if there are any special instructions circled or written for where to deliver. If not, sort by size for Preservation or Bindery.

When in doubt as to whether an item should go to Bindery vs. Preservation, consult with Bindery Coordinator. When in doubt as to whether item should go to commercial Bindery before delivery to Music, consul with head of Music Library.

Accompanying Material

CD's
When processing Music scores (unbound) with CD in back, be sure to print out another bindery ticket & wrap it around the CD with the date it is going out & what date it will be back from the bindery.  If book is bound with CD in back, it gets processed the same as regular bound books and will get delivered to Preservation for them to do a pocket in the back of the book.

Scores in Folders and covered folders

PROCESSING 'MUSIC PARTS' AFER 'MAIN SCORE' ALREADY BOUND IN MUSIC STACKS

    • Call for main score from Music Library. Once received main score, process the parts normally (see above) using the same call number of the main score (cataloger should provide the information about the main score)
    • Once completed, deliver the main score with parts to Bindery for completing the process before return to Music Library.



PROCESSING LP's (ALBUMS)

    • Run labels
    • Write call number on album center label using a sharpie fine point pen (or place a label if enough room).
    • Property stamp the center label of the album
    • Affix the printed label on the lower left corner of album cover.
    • Check for printed text material in side album cover. if there, print another call number and affix on printed text in the normal area for books, and property stamp the top
