The ERSA ERM Specialist will run the GOBI invoiced titles report on at least a weekly basis, verify that invoiced titles are accessible to Duke patrons on the appropriate hosting platform, and track the titles in the Ex Libris 360 knowledgebase (kb). Monograph Acquisitions staff who place rush ebook orders will email information about the order to the Specialist as the titles are ordered, and the Specialist will check access to those titles, track them in the knowledgebase, and send the selecting DUL staff an email containing the access URL.

Procedures / Workflows

  1. Ebook orders are placed via GOBI
    1. Firm orders (title individually selected by a person)
      1. Non-Rush - majority of purchases
      2. Rush - minority of purchases
        1. Rush titles require notification of access URL to the selector when the title is accessible. Monograph Acquisitions staff who place a rush order will forward the order acknowledgment to ERSA ERM Specialist so that they know that it should be treated as rush. 
    2. Approval orders – titles purchased because they fit criteria in a profile (all non-rush)
  2. ERSA ERM Specialist tracks invoiced titles in the knowledgebase
    1. Non-Rush: Export list of invoiced titles from GOBI on a weekly basis and activate all that are available on their platform; continue to check all titles on a weekly basis until they become available; if not available in a reasonable amount of time, contact vendor; if necessary, work with Ex Libris to make sure title is available in preferred databases for activation.
    2. Rush: Check more frequently for title availability and send access URL to selector as soon as title is available; otherwise, follow the same procedures as for non-rush titles.
    1. Note:
      1. 360 MARC should NOT be selected in the kb since we already get MARC records from GOBI.
      2. Add a private note at the title level about the number of simultaneous users purchased. This will help with troubleshooting and identifying when MonoAcq has upgraded simultaneous users or bought more copies of a particular title.
  3. MADS Metadata Ingest Specialist loads GOBI MARC records
    1. MARC records provided by GOBI with purchase
      1. First a brief record with an order embedded in the MARC
      2. Later a more full record with an invoice embedded in the MARC
    2. Batch loaded to Aleph by Metadata Ingest Specialist
    3. URLs do not update when URL changes


How to Run Report of Purchased Ebooks in GOBI

  1. Use "Library Activity" search in GOBI, found under "Search" menu tab.
  2. Run search for specific dates across e-book accounts:
    1. 1370-50 Ebook SLCL
    2. 1370-51 US E-Collections
    3. 1370-52 US Approval E-Books
    4. 1370-54 US E-Book Rush ( note from Head, Metadata &  Discovery Strategy – Work with Metadata Ingest Specialist before ordering on this account, not set up for GOBI records services)
  3. Use columns EY through FP to identify platform and # of users purchased for each title.
