Torrossa firm order workflow documentation

  • The Subject Selector submits orders for Torrossa ebooks through the Order Specialist for Western Languages, just as with any firm order
  • The Order Specialist for Western Languages places the order through Casalini and notifies the ERM Specialist once the orders have been placed
  • The ERM Specialist activates the titles in the knowledge base in the database Torrossa Single Purchase Catalogue (db code: I4C)
    • If titles aren't available in the database, the ERM Specialist will submit a ticket to Ex Libris to request that the titles be added
  • The ERM Specialist will notify the Subject Selector (and/or other specific patrons mentioned) when activation is complete



Bookrail firm order workflow documentation

  • The Subject Selector submits orders for Bookrail ebooks through the Order Specialist for Korean Language, just as with any firm order
  • The Korean language subject specialist places the order through Bookrail and notifies the ERM Specialist once the orders have been placed
    • The order is usually placed as a single order (one PO#)
  • The ERM Specialist activates the titles in the knowledge base in the database Bookrail (db code: RK0)
    • If titles aren't available in the database, the ERM Specialist will submit a ticket to Ex Libris to request that the titles be added
  • The ERM Specialist will notify the Subject Selector (and/or other specific patrons mentioned) when activation is complete



De Gruyter/ Harrassowitz documentation 

  • The ERM Specialist receives an invoice via email from the Metadata & Discovery Strategy (MADS) Specialist and then checks De Gruyter eBooks (db code: AAZEP) for available titles
    • When activating available titles, leave 360 MARC Updates selected
  • If titles are not available, the ERM Specialist will check to see if titles are available on De Gruyter's site and submit a ticket with Ex Libris
    • If titles have not been published yet, the ERM Specialist will check on availability after publication date. If titles can not be located on De Gruyter's site, the ERM Specialist will contact De Gruyter representative for expected date of publication.
  • The ERM Specialist will notify the MADS Specialist when titles have been tracked so the MADS Specialist can be on the lookout for the 360 MARC record and overlay it with record received from Harrassowitz
    • If a support ticket was submitted to Ex Libris to add titles to the database, don't forget to notify the MADS Specialist after completing any new activations
