Requesting a VPAT (Voluntary Product Accessibility Template)

Sometimes our license with a content provider will state that the licensor provide us with a VPAT (Voluntary Product Accessibility Template). If a license states that a VPAT will be provided to us, it is important that we receive one from the publisher to save along with the license. Some publishers have their most up to date VPATs available for download online. Others must be requested via email.


To request a VPAT from the publisher:

  • Email the publisher contact listed in the 'Organizations' section of FOLIO.

  • If a representative is not listed in FOLIO, you can look at the Contact Us section of their platform or ask the Licensing team if they have a contact.

Hello,

I was wondering if you’d be able to direct me to where I might find a Voluntary Product Accessibility Template (VPAT) for Duke’s recently negotiated [license name and year] License?

Is this something that I can find online or something that you could perhaps send me?

  • Be sure to check that the VPAT is filled out completely and it lists the product and date.
  • Save it in the BOX 'DUL Licensing Documents' folder with applicable license as Provider_VPAT_YYYYMMDD_Product. Create a 'VPAT' folder if there is not one in there.
  • Attach it as a 'supplementary document' to the appropriate license in FOLIO as 'Provider Name Accessibility Conformance Report', category 'VPAT', with the Box file link as the URL.


  • Check off relevant checkbox in the 'License Admin' section of the 'Licensing' Trello board.
