ABLE Digicovers Instructions

Instructions for processing Digicover Items in ABLE (Instructions are for both Monographs and Serials, and should be mixed on the same LOT) (Digicover was formerly called Copi-cover)

Digicover is when the Commercial Bindery (CB) will digitize the cover; attach it to boards and the text block; and adhere Mylar, a petroleum-based clear cover, to the text block cover. The original title and call number label will show through the clear cover without the CB reprinting it on the book. For this reason we do not spend the time revising the same way we do other bindery Lots. Therefore upfront preparation, which includes all the steps listed below, is very important!

Preparation

Sort the Digicover items in separate stacks:


  • All books requiring special notes due to loose material and special for any reason.
  • Flip through the pages and check the gutters for any loose material(s).
  • Print the call number label and affix to the loose material(s) that will require the CB to make a pocket.  NOTE: Pocket material must be 1/4" or thinner for a Digicover, or it must go for regular library binding.
  • Process as is even if the cover is torn or damaged because Digitization will remedy the damage problem.
  • Pull the books with a flap to retain the flap and process as any other loose material that stays in Shipping (Trim flap, make a note on the ticket, print an extra ticket to go with the loose flap with the shipment paperwork).
  • Special notes like "Do not trim" should be written on a scrap piece of paper and attached to the book with a plastic paper clip to prevent damage.  The tickets will not travel with the books.
  • Please remove price tag stickers or any other stray stickers; dirt; and glue on the outside of the covers because they would be permanent after binding. Glue and dirt can be removed by "art gum or a white eraser".   (See the Shelf Prep Coordinator for "art gum" or give the book to him/her to remove the residue).
  • Check for text inside the front and back covers. Consult a Language Specialist in the Monograph Acquisitions Dept. or the Continuing Resource Acquisitions Dept. to see if the text is important and if we need to retain it.
  • Discard book marks and Conservation flags. Recycle CD flags and Flex M flags. Do not filmoplast them inside the books.


Once the books are ready, follow the instructions below for adding them to the LOT in ABLE

Adding Digicover Items to ABLE for commercial binding

First create a Digicovers LOT, or select an existing Digicovers LOT for the appropriate shipment date.  See the separate document on creating a LOT.  The Lot name will look like this: 030514CC

The first thing to do is select the correct Fmt [format] for Digicovers.
To do that

Click in the Fmt [format] slot and use the drop down arrow and choose the correct Fmt code [Format] (see example below)


Do have to add "do not trim" notes to Digicovers

TITLE CALL NUMBER

Note: For Digicovers, the Cover [color] should be 9000-paperbacks and the print color should be W. These choices are already selected in the paperback Fmt [formats]. Make sure all are on the screen. However for Category you need to choose copicover because it does not automatically appear. Remember CB changed the name to Digicovers, but ABLE still lists them as copicover.

Note: Digicovers do not have a class, so class will remain blank (see below)

Notation: Cover color does not have to be edited for color type [i.e., mono. sets] due to the Mylar cover.

Now you are ready to Search and download records using Z-Link to retrieve title and call number from Aleph (the author is not used for Digicovers).

Click on Z-Link and follow instructions on separate document on using Z-Link for importing titles into ABLE.

Once all title and call number info has appeared on ABLE composition screen, please proceed in this manner: (Remember to edit date and/or volume to call number if entering Per/Serials and remember to also check call number slot levels for both monographs and serials).

Click on Cover Proof: (This is done for Proofing spine for accuracy: Also the spine view can stay open on the screen if desired): When editing on the composition screen the spine view changes in real time. Therefore having it open when editing takes care of whatever revision is needed at that time--making sure that the title, author, and call number, including location, copy numbers, and volume numbers are all correct before adding to the LOT. Also remember to check call number slot Lvl [level] and adjust as needed for longer call numbers. Digicovers' slot level default is 7.

To close the Cover Proof window, click on the X.

NOTES: The area on the composition screen in lower right hand corner is Instructions for notes. For digicovers, there may be a special note group to process. The note should be hand written on a scrap piece of paper and attached to the front cover of the book with a plastic-coated paper clip to prevent damage.  Please add the note to the ticket as well.

Tickets are printed at the same time items are added to the Lot on plain paper, NOT the BIND paper. Use the printer lib-plex-opp17-bw on lib-ps-2016.  Unlike the other types of materials, digicovers' tickets are not printed for revision or to travel with the book. The main purpose for printing tickets is to change the IPS in Aleph to "OB–Out to Bindery". So at the point of Add item please print tickets on regular paper on the printer, listed above which should be your default printer.

Making corrections on ABLE:
When revising and you need to make corrections on items--always click on Update Item in the drop down menu after a correction is made.  NEVER click on Add item because it will duplicate the item on the LOT. Once the item is updated, reprint the ticket: To reprint a ticket, click on Print, click on Reprint Binding Slip, then choose the appropriate printer and print the new ticket. NOTE:  The newer version of ABLE will not allow a Snipit of the drop down menu, but the above instructions are self-explanatory.


  • If there is an "ALREADY DAMAGED" note on the ticket, you need to add the same note in Aleph on the Item screen in the Circ. note.  (See Notes for ABLE note list document or follow example below.This also goes for Paperbacks and Rebinds.



**When you are processing a Serial on the Digicover LOT, use your Cover Proof to make sure all your holdings information ie; vol, no, year, follows your call number as appropriate.  The call number on the ABLE screen should match the call number label or the handwritten call number inside the piece.
