ABLE Music Score Monographs

The Shelf Prep coordinator usually prepares a Music truck to distribute to other staff.  The Music Score Monographs are sorted into four categories which are listed below to simplify processing in ABLE.  When similar types of materials are sorted together in stacks, it makes it easier for staff to add the same kind of notes to the tickets and watch for pockets, loose materials, etc..

Types of Music Score Monographs (all go on the Music Score LOT [010913MU]) the difference will be the format

  • Regular music score monograph paperbacks--format will be MS
  • Music score spiral bound paperbacks--format will be MS
  • Music score with parts—format will be MP
  • Music score spiral bound with parts—format will be MP


ABLE instructions for processing Music Score monographs

Entering Music Scores to the Music Score LOT is the same as entering "monographs on a monograph LOT", with a few exceptionswatch out for the exceptions

First create a Music Score LOT, or select an existing Music Score LOT for the appropriate shipment date. (See separate document on creating a LOT) Make sure the Music LOT has MU as the suffix
Example: [010913MU]

Enter in ABLE as follows:
Select the correct Fmt [format] for Music Score monographs.
To do that, follow the steps below:

TAB to or click in the Fmt [format] slot.
Enter the appropriate code in the Fmt [Format] slot and press TAB. (see below for music score format type)

Note: For Music Scores books, the Cover [color] should be BUC-Buckram and the Print color should be G.
These choices are already selected in the music score Fmt [format]. Make sure all are on the screen.





Instructions: When you choose Fmt MS, Category and Class at the left pane should come up automatically:

Category should be mu – music
Class should be ms – score

Instructions: *Exception for Cover color: If the call number includes miniature score: choose Cover [color598-Navy from the drop down menu instead of BUC-Buckram: miniature score call number will have Min.Score in the call number (see example below).

Also remember sets will be 598-Navy--watch out for volume numbers in the call number and other music styles like it: i.e. no.; op. (Opus); etc.

Now you are ready to Search and download records using Z-Link to retrieve title; author; and call number from Aleph to show up on composition screen in ABLE.

Click on Z-Link and follow instructions on separate document on using Z-Link for importing titles into ABLE.



Once all the title and call number info has appeared on the ABLE composition screen, please proceed in this manner:

Click on  Cover Proof (This is done for Proofing spine for accuracy in revising): When editing on the composition screen the spine view now changes in real time. Therefore having it open when editing takes care of whatever revision is needed at that time. That is making sure the title; author; and call number including location, copy numbers and volume numbers, are all correct before adding to the LOT. To close the Cover Proof window, click on the X.

Also remember to check the call number slot Lvl [level] number and adjust as needed for a longer call number. The default is 7.

*Example: Miniature Score Music call number process in ABLE Remember to adjust call number Lvl number and also change Cover from BUC-Buckram to 598-Navy for Miniature Score (see below).

A Miniature Score call number will have Min.Score in the call number.

Instructions area on ABLE is where notes are entered:

Adding Instructions NOTES to Music Scores: All Instructions notes are important in ABLE, and especially for music scores. Please open "notes for music" document that is in the wiki and/or saved on your desktop. Use it to copy and paste notes so won't have to type them manually every time.  This will save time and prevent misspellings.

Example of music score notes: "DO NOT TRIM" notes, and for spiral bound books, "TRIM INSIDE HOLES." or "DO NOT TRIM INSIDE HOLES." Refer to note list in the wiki or saved on your desk top for Music Scores.


Also Watch-Out for post-it notes on the score for special NOTES to be added. Example 


If a Post-It note is there, make a note in the Instruction area: Please keep the covers, Please keep the front cover, Please keep the back cover, or name which piece is appropriate to retain.


If you notice the score has loose pages or all pages are loose, please consult the Shelf Prep Coordinator. Do not ADD item to the LOT.


Once all the information is complete, now you are ready to add the item and print the ticket: Click on Add Item.  The print screen will appear.  Click on the appropriate printer and click ok. The ticket will print to the printer that has been selected. Now you are ready to proceed to the next item by clicking on Z-Link. The Z-Link process is repeated for importing each item into ABLE. 

Making corrections on ABLE:

When you are revising and need to make corrections on items, always click on Upd Item (Update Item) after a correction is made. NEVER click on Add item because it will duplicate the item on the LOT. Once the item is updated, you will need to reprint the ticket.  To reprint a ticket, click on Print, click on Reprint Binding Slip, then choose the appropriate printer and print the new ticket. NOTE:  The newer version of ABLE will not allow a Snipit of the drop down menu, but the above instructions are self-explanatory.
