ABLE instructions for Set Continuations for PS format

Adding Set Continuations to ABLE LOT: (These are dictionaries; encyclopedias; incomplete fascicules being bound together and volumes of regular monographic sets being bound together)

Note: There are 2 types of formats in set continuations: PS and MCC: Below are the instructions for PS format. The MCC instructions come after. 


Preparation for Binding: (Will be mostly done by Bindery Coordinator)

Make sure the following is done before entering in ABLE

  • Print labels for NT and count
  • Remove the title page from last issue to the front if needed
  • If there is a barcode on the outside of the publisher's hard cover supplied, move the barcode to the last significant page that will stay with the book. This is done because the cover may not get used by CB. Also, if we are asking CB to remove the covers we need to make sure the barcode is on the part of the book that will stay.
  • For regular monographic set volumes being bound together use PS format


Now Ready for ABLE for adding set Continuations Books for PS format


Set Continuations for PS format: PS format type is when covers are NOT going to be removed before binding.


Instructions for processing PS format:

First create a Set Monographic LOT to add Set Continuations books. The LOT name will be the shipment date plus M2; ex. 082515M2

Once the Set Monographic LOT is created now ready to add PS formats items to LOT. 

PS format is for when covers are NOT going to be removed and this is indicated with the PS format.


Tab or click in the Fmt [format] slot, use drop down and choose PS and press enter or Tab (see chart below for meaning and other info).

PS=for when NOT removing individual covers

No mid-lettering is needed For regular monographic set

For PS format: Periodical Standard, the Cover [color] should be 598-Navy, which may need to be changed if otherwise instructed [i.e. 990 to match supplied hard cover] and the Print color should be W. Category = p-periodical; Class = s-standard. These choices are already selected in the PS Periodical Standard Fmt [formats]. Make sure all are on the screen.

Now ready to Search and download records using Z-Link to retrieve title; author; and call number from Aleph

Click onZ-Linkand follow instructions on separate document on using Z-Link for importing titles into ABLE

PS format

Also set continuations that are considered Pers like Periodicals/Serials, calls for slot lvl [levels] to be entered by using the spine measuring instrument. Supervisor will demonstrate.

Also need to delete the <TITLE> prompt before or after title is entered.

If PS format Periodical Standard doesn't have a written note showing mid-spine lettering, please delete the word "LETTERS" from the screen and the X where the slot lvl mid-spine slot level is. With this there is no slot level number needed for mid-spine. However, if there is a written note showing mid-spine lettering, then mid-spine slot level will need to be entered. Supervisor will demonstrate.

After which enter call number location and volume numbers, etc. and count for slot level number and enter it appropriately.


Notes for PS format.

There are LUO Notes for Set Continuations already attached to the format.

Below is an example LUO for PS format:

PS format = *FORMAT IS FOR MONOGRAPHIC SETS WITH MORE THAN 1 ISSUE BEING BOUND TOGETHER

Notes that are for CB are listed below. [Due to limited space for note printing, when entering the CB notes, the LUO notes are to be deleted so the CB note will print on tickets.]

Individual covers don't need to be removed. Use hard cover supplied if possible. [FYI: These will need to have call numbers printed after CB (FYI: The bold part of the note is used when the item comes with an unattached hard cover)]

Once the Set Monographic Custom/Carb LOT is created now ready to add MCC formats items to LOT.

MCC format is for when covers ARE going to be removed and this is indicated with the MCC format.

MCC format

Set Continuations: MCC format is for when the covers ARE going to be removed. This information should already be indicated on each group.

Custom/Carb (monograph)

Format:
MCC=for when CB ARE going to remove individual covers

TITLE\\LETTERS CALL NUMBER

For MCC format: Monographs Custom/Carb, the Cover [color] should be 598-Navy and the Print color should be W. Category = M-Monograph; Class = cc-custom/carb for Monographs custom/carb. These choices are already selected in the MCC Monograph Custom/Carb Fmt [formats]. Make sure all are on the screen.


Now ready to Search and download records using Z-Link to retrieve title; author; and call number from Aleph

This is part of spine information because some of the items are dictionaries and encyclopedias. The book should have this information clearly identified for entering on ABLE.
